Common Area Coordinator - Deerbrook Mall
Job Description
GGP has an immediate need for a Common Area Coordinator in Deerbrook Mall in Humble, TX.

Responsibilities include the following:
Position Summary:
Responsible for efficiently coordinating all business development activity for shopping center with the intent to maximize common area programming while implementing property?s strategic plan and company visual standards
Core Functions and/or Organization Functions:
1. Business Development (TILS, RMU, KIOSK)
· Coordinate and monitor visual presentation of common area program:
- Be familiar with GGP?s visual merchandising guidelines.
- Coordinate placement and preparation of the RMU., as well as the Visual Merchandiser?s work (if a VM is utilized))
- Communicate with operations shelving needs and placement of ancillary GGP owned fixtures. Notify Public Safety of set up or tear down.
- Ensure the VM work is completed as specified in the Independent Contractor Agreement.
- Take, file and distribute photos of completed RMU.
- Coordinate and attend new merchant/visual merchandiser meeting prior to merchant opening.
- Request visual display rendering from visual merchandiser (from merchant if there is no VM) and route to GM/MKTG/ for review and approval. Communicate any issues to proper channels if necessary.
- Ensure visual merchandising and merchandise display meets property standards prior to merchant opening.
- Route proposed store signage and kiosk renderings through property manager for approval prior to merchant move in.
- Conduct 1-2 common area walk-throughs daily.
· Screen and facilitate application process for walk-in and call-in prospects. Communicate those opportunities to the assigned business development representative.
· Prepare and send sales packages at Business Development request.
· Assist with the identification of appropriate common area placement of proposed merchant by understanding/communicating available inventory, marking available space on lease plan, and/or having a full understanding of permanent retailer kiosk restrictions.
· Prepare deal sheets for short term deals under TOE/TAX.
· Facilitate license agreement administration:
- Accurately enter all license agreements for approved business development merchants, track approvals, obtain tenant signatures.
- Obtain business licenses, track tenant openings, collect all appropriate insurance liability/worker?s comp insurance (waiver if applicable), obtain Driver?s License/Social Security (in all applicable states).
- Have merchant complete/sign all mandatory paperwork (emergency contactfor, merchant manual, etc.)
- Execute deals in License Maker system, provide copy of executed document to property accountant.
- Collect sales information.
- Assist in litigation
- Maintain updated files for each merchant.
· Effectively coordinate business development merchant set up and move-in/move-outs for the property through clear communication with property operations and security departments. Ensure merchant is ready to open on the start as indicated on license agreement.
· Fully understand the retailer benefits of, and support, the GGP Advantage programs including mallbusiness.com, Farmer?s Market, Open House and Indie Collection events.
· Coordinate and execute BD events planned for the property.
· Continually and accurately update MAP reports with revenue numbers from executed license agreements and/or other income under the direction of the G/BDR.
· Assist business development representative with monthly reconciliation process.
· Understand from property accountant status of collections. Assist in collections to minimize accounts receivables.
· Handle customer complaints and communicate any issues to the general manager and GBDR.
· Effectively coordinate with external back lit directory company (for example: Smartlite, Clear Channel) for postings and quarterly directory updates. Monitor program so that no backlit panel is vacant.
· Ensure temporary merchants adhere to GGP guidelines and common area standards: (late openings use clause infringements, manning units, etc?). Deliver violation letter and action notice as well as route internally to GM and accountant.
· Assist business development representative with monthly reconciliation process.
2. Strategic Partnerships (Alternative Revenue and Sponsorship)
· Post/maintain signage/collateral associated with contracted media buys. Included, but not limited to:
- Confirm with implementation team that media elements are received at property.
- Confirm with implementation team that received media elements are accurate (quantity, not damaged, etc).
- Post and remove media elements on specified media flight dates.
- Gather comprehensive ?Proof of Performance? photos and provide back to SP Implementation team within 48 to 72 hours of posting date.
- Coordinate with external back lit directory company (for example: Smartlite, Clear Channel, JCDecaux, etc) for postings and quarterly directory updates.
· Update Dynamic CRM (Common Area Inventory) database when a media commitment has been made on local level.
· Review Dynamic CRM database to confirm ?total data entry? accuracy.
· Enter license agreements for properties where a focused SP rep is not assigned.
· Review with property GM/Operations/Security & respond to program briefs received by Strategic Partnerships within 48 hours.
· Update MAP reports with revenue numbers once an ?Executed Agreement & Mall Payment Allocation? document is received.
· Be main point of contact for event / media agencies for 1) site visits; and 2) coordination & guidance for event set-up / take-down details.
· Assist with event set-up, including coordination with contracted special events company, if applicable.
· Prepare and send sales packages at Strategic Partnerships request.
· Screen Strategic Partnership ?Alt Rev? opportunities and communicate those opportunities to the appropriate representative.
· Other duties as assigned
Requirements
Qualifications include the following:
· Bachelors Degree preferred
· 2 Years of Experience, preferably in Marketing, Event Planning, Project Coordination, Retail or Real Estate
· Comfortable working in a fast paced, highly dynamic work environment
· Excellent interpersonal, organizational, time management, oral and written communication skills
· Ability to work and learn independently and in a team situation
· Ability to deal with multiple projects and tasks effectively and establish priorities
· Strong attention to detail and ability to follow through
· Self-motivated, pro-active individual with a positive attitude
· Ability to read and understand standard business documentation (e.g. contract language)
· Excellent PC, Excel and MS Word, PPT
